This Privacy Policy ("Policy") governs the collection, processing, storage, and protection of information in connection with your use of Pixie, a Discord bot ("the Bot", "the Service", "we", "us", or "our"). By adding the Bot to a server or interacting with it, you consent to the data practices described in this Policy. The Bot is operated by an individual and stores data locally on the machine that hosts it. We do not operate a public dashboard, and we do not use third-party analytics, tracking, or advertising services. The Bot only processes data for users who interact with it or who are members of a server where its features are enabled, and collects only what is needed to provide those features.

1. Data Collection and Retention Schedule

Category I: Persistent Data (Retained Indefinitely Until Manual Deletion)

The following data is stored indefinitely in order to provide the Bot's features. It is retained until it is manually deleted by the operator, until a server administrator resets it through the Bot's configuration commands, or until a deletion request is made under Section 6. This data is not automatically erased when the Bot is removed from a server.

Message Content

The Bot does not maintain a general-purpose database of message content - the specific, limited exceptions are described in this section. Where the optional logging feature is enabled by a server administrator, deleted and edited messages (including their content, author, channel, and timestamps) are relayed to a log channel within that same Discord server; this content lives in the server's own message history, not in our storage. Similarly, automated content filters (such as the word, spam, mention-spam, scam, and child-safety filters), when enabled by an administrator, may remove an offending message and relay an excerpt of its text to a moderation or alert channel within that same Discord server so moderators can review the action; this excerpt is not stored off-platform. Likewise, the quote feature reposts a quoted message and its author's display name and avatar into the server. A weekly server-activity newsletter/digest feature also exists, currently as an invite-only beta: it is not a setting any server administrator can turn on themselves, and only runs in a server after that server's owner has asked for it and been manually added by the Bot's developer. Where it is active, it is the one exception in this section that genuinely keeps its own copy: a rolling, capped list (up to 50 entries) of short excerpts from messages that were reacted to, replied to, or mentioned that week, along with the author's ID and display name, is stored in our database so a digest can be compiled and posted back into that server - retained for the past four weeks before aging out, longer than the snipe cache below but far shorter than this beta's earlier retention window. When a support ticket is closed, the messages in that ticket channel may be compiled into a transcript and posted to a designated channel within the same server, and the starboard feature reposts messages that reach a configured star threshold into a starboard channel within the same server. The optional snipe feature keeps a small number of recently deleted or edited messages, and recently removed reactions (including their content, author display name, and avatar), temporarily in volatile memory so they can be shown with the snipe command. This cache holds at most a few entries per channel, automatically expires each entry after two hours, and is cleared whenever the Bot restarts. Sniping can also be turned off entirely on a per-server basis by a server administrator, which stops any such data from being held and clears what is already cached. The AI chat command similarly keeps a short rolling window of a conversation (a handful of recent messages, held in volatile memory only, never written to disk) so it can follow up coherently - this expires automatically after 30 minutes of inactivity and is also cleared whenever the Bot restarts. Aside from these features, the Bot reads message content only transiently to process commands, apply its filters, and match administrator-configured auto-responder and auto-reactor triggers, and does not write it to long-term storage.

We maintain a strict non-disclosure policy regarding collected data. Your stored data and any personal profile are not disclosed to third parties, with the sole exception of legally binding requests from law enforcement or judicial authorities, in which case only the specific data required by the order will be disclosed.

Some optional features rely on third-party services to work. When you use such a feature, the Bot sends only the minimum input required to that service to fulfil the request. For example, text you ask the Bot to translate is sent to a translation provider (Google Translate, with a self-hosted fallback used only if that provider is unavailable); text you submit to the AI-detection command is sent to that provider; a location you provide when setting your timezone is sent to a geocoding lookup service (Open-Meteo) to resolve it to a timezone; a word you look up is sent to a dictionary lookup service; and emoji and image assets are fetched from public content delivery networks (such as jsDelivr / Twemoji, Google Noto, and Discord's own CDN). Certain fun commands fetch random images from public image APIs. These services are used solely to deliver the feature you requested, are each governed by their own privacy policies, and are not sent your stored data or profile.

Certain other optional features process your input using AI models we operate ourselves on our own hardware, not a third-party AI provider: the AI chat command sends the text you write it to a self-hosted language model to generate a reply; the image-description command sends an image you provide to a self-hosted vision model to describe it; voice message transcription sends the audio to a self-hosted speech model to produce text; the OCR command sends an image to self-hosted text-extraction software; and the background-removal command sends an image to self-hosted background-removal software. In every case, the input is used only to generate that one response and is not kept afterward except as described for the AI chat command in Section 1 below.

We do not train, fine-tune, or otherwise improve any AI/ML model - ours or anyone else's - using message, image, or audio content submitted to these features, or any other content collected through the Bot, under any circumstances.

To exercise any of these rights, contact us using the details in Section 9. Server administrators may additionally wipe all of a server's stored data themselves at any time using the Bot's $resetserver command, without needing to contact us.

7. Age Restrictions

In accordance with Discord's Terms of Service, you must be at least the minimum age required to use Discord in your country (and no younger than 13) to use the Bot. We do not knowingly collect data from anyone below this age. If we become aware that such data has been collected, it will be deleted.
